 INFORMATION SHEET

 
*Please note that all dates and times listed here are given in Japan time.

 

1. ARRIVAL AND DEPARTURE

 

A. All delegates and observers should arrive at Narita Tokyo Airport on November 13th B.E. 2551 (2008).

B. Please use our FREE shuttle service provided between Narita International Airport and Asakusa View Hotel. The service will be available only on Nov. 13th and 17th. Any other transportation can be used at your expense.

C. All participants should check out by noon on Nov. 17th, 2008You will be able to extend your stay at your expense.

D. WFB Executive Council Members and WBU Council Members should arrive on Nov. 12th in order to attend the meetings scheduled on Nov. 13th. There will be ground transportation provided from Narita International Airport to Asakusa View Hotel for the Council Members arriving on Nov. 12th, as well as a hotel room from the afternoon and a dinner for Nov. 12th.

 

2. REGISTRATION FEE

 

Ø Registration Deadline and payment of Registration Fee

Please send your Confirmation Form to the Secretariat and complete the payment of the registration fee by September 25th B.E. 2551 (2008). Payment made from September 26th and on should be accompanied by a late fee of JPY 8,000.

 

Ø Registration Categories

· Delegate: JPY 30,000 per parson

This includes accommodations and meals at Asakusa View Hotel from Nov 13th (check-in available from 3PM / dinner provided) to Nov 17th (check-out by noon / breakfast provided), participation fee for conference / meeting, symposium, ceremony, and a group portrait. 

We request two delegates from each WFB Centre. 

 

· Observer (A) staying at Asakusa View Hotel: JPY 110,000 per parson

This includes accommodations and meals at Asakusa View Hotel from Nov 13th (check-in available from 3PM / dinner provided) to Nov 17th (check-out by noon / breakfast provided), participation fee for conference / meeting, symposium, ceremony, and a group portrait. 

 

· Observer (B) staying at Hotel Sun Route : JPY 90,000 per parson

 (5 min. walk from Asakusa View Hotel)

This includes accommodations and meals at Hotel Sunroute Asakusa from Nov 13th (check-in available from 3PM / dinner provided) to Nov 17th (check-out by noon / breakfast provided), participation fee for conference / meeting, symposium, ceremony, and a group portrait.

 

Ø The Registration Fee is applicable to those who attend the WFB General Conference, WFBY General Conference or Meeting of the World Buddhist University Council. 

 

Ø Availability of rooms at each hotel is limited. The rooms will be assigned on a first come, first serve basis, according to the date your confirmation form is received. After the rooms are no longer available at the hotel of your request, a participant will be asked to stay at the other hotel with available rooms. 

 

Ø Interpreters for delegates should register as observers. 

 

Ø Accompanying persons may register for a fee of JPY 110,000. Accommodation is limited to the Asakusa View Hotel.

 

3. Cancellation Policy 

If you wish to cancel your participation in the conference, please be sure to contact the Secretariat by e-mail or fax. Refunds will be subject to the following cancellation fees based on the time of your notice arrives at the Secretariat (Japan time). Please note that refunds will be issued after the conference, and bank transfer fees will be deducted from the refund amount.

4. Visa Support

 

For participants who require a visa to enter Japan, please apply to your local Japanese Embassy or Consulate on your own.

 

After we have confirmed the CONFIRMATION FORM and registration fee payment, the Secretariat will send an invitation letter, with the name of the participant included in it, to your regional center. 

 

A specialist will assist participants who require additional documents in order to obtain a visa. 

If you should require assistance in preparing additional documents, please inform the Secretariat, and make a service payment fee of JPY10,000 (cost for document production fees, postal & transmission fees, personnel fees, etc.) by Sep. 14th to the bank account shown below. Please note that the fee will not be refunded under any circumstances (including cancellation of registration or if you are unable to obtain a visa).

5. Important notes 

A. Only Buddhists shall act as delegates or observers. 

B. Vegetarian meals will be available during the conference. Alcoholic beverages will not be served during the conference. 

C. Personal expenses incurred during your stays, including telephone and fax charges, postal fees, etc., are the responsibility of the participant. 

D. All participants will share hotel rooms with one or two other persons. Please indicate your preferences for room assignment on the Confirmation Form. 

E. The average temperature in Japan in November is 12 C/55 F in the day and 5 C/40 F at night. Please keep in mind that the "Prayer for the World Peace" on November 16th will be taking place outside, and dress appropriately. 

F. We would like to you attend the "Prayer for the World Peace" on November 16th in the clerical dress or ethnic costume of your native country or region. A commemorative photograph will be taken at the ceremony on November 16th.

 

 

 

6. CONFIRMATION FORM

Please complete and return the Confirmation Form by E-mail or Fax by September 25th, B.E. 2551 (2008). 

At that time, please send items A and B listed below by mail. 

 

A. A copy of your passport bearing your photo and expiration date 

  (Please indicate the name of the foreign post at which they intend to apply for  a visa.) 

B.  Two recent passport size photographs with the name in block letters on the back.

 

7.About the Protection of Applicants’ Personal Information

The Japan Buddhist Federation strives to protect the personal information of applicants.

The collection of individually identifying information (personal information) on this form is only for participant registration purposes.

Without the consent of the applicant, this information will not be used for any purposes other than responding to the applicant’s questions about management or participation and providing information to applicants.

In order to allow for smooth operation, the JBF has contracted to entrust handling of personal information, including collection, maintenance, management, and processing, to the company listed below.

Errors in an applicant’s personal information will be corrected or deleted. Please direct notification of such an error to the secretariat.

Provision of personal information is optional; however, please note that without providing this personal information you will not be able to participate.
